When custom software is the right decision

Most businesses should buy software, not build it. Accounting, payroll and email are solved problems, and paying a monthly fee for a mature product is almost always smarter than paying a team to reinvent it.

The decision changes when the software has to match a process that is genuinely yours — the thing your customers actually pay you for.

Three signs you have outgrown off-the-shelf

The first sign is the spreadsheet in the middle. When a product cannot do one specific step, someone exports to Excel, edits, and re-imports. That spreadsheet is where errors, delays and tribal knowledge live.

The second sign is licence maths. Ten users is affordable. Sixty users, each needing a seat on three different tools that barely talk to each other, is a budget line worth questioning.

The third sign is the workaround culture. Staff describe the system in terms of what you must not do. Training new people takes weeks because the rules are unwritten.

What custom actually buys you

Custom software buys fit and ownership. The screens follow your workflow, the reports answer your questions, and the data stays yours in a database you can query, export and move.

It does not buy magic. A custom system still needs maintenance, hosting, security updates and someone to call when something breaks. Budget for the second year, not just the launch.

A sensible middle path

The strongest outcome we see is a hybrid: keep the mature products for the commodity work, and build one focused system for the process that differentiates you. Connect them through APIs so data flows in one direction without human copying.

Start narrow. Automate the single most painful step, measure the hours it returns, then extend. A system that grew out of one solved problem is far more likely to be used than a platform designed in a workshop.
