Replacing spreadsheets with an operations platform
Challenge
A distributor was running orders for three warehouses on shared spreadsheets. Stock figures were a day behind, dispatch sheets were retyped by hand, and month-end reconciliation took a full week of two people's time.
Approach
We spent two weeks on site mapping how an order actually moved from a phone call to a delivered pallet, including every exception the team handled informally. That map became the scope: one system for intake, allocation and dispatch, and nothing else in phase one.
Solution
A web platform with role-based access for sales, warehouse and finance. Orders are captured once, stock is allocated against live figures, dispatch sheets print automatically and every change is logged. The old spreadsheets ran in parallel for one full month before being retired.
Outcome
Order processing moved from a full-day cycle to same-hour dispatch, retyping between teams was eliminated, and month-end reconciliation now runs from the system's own reports.
